Senior Purchase Ledger Clerk (sole role)
West London
£40k-£45k
Plus a generous bonus
On-site 4 days a week/ Home 1 day

The role
To have full control of the AP function for Service Charges and all operational costs for a large mixed-use development. The successful candidate will need to implement and review processes and procedures, serve as the contact for suppliers, and provide Senior management with supplier payment performance reports.

Duties:

  • Register all supplier invoices, ensuring accuracy of coding, amounts and supplier details.
  • Batching invoices for approval, applying workflows in line with delegated authority limits.
  • Managing purchase ordering system and matching invoices to orders.
  • Payments relating to Annual Insurance Premiums and claims.
  • Managing logging of utility bills and ensuring approvals are made within the set timeframes.
  • Assist in preparing bi-weekly supplier payment runs on Yardi & Momentus collating invoices to payment run reports.
  • Reconcile suppliers’ statements and resolve any queries and discrepancies.
  • Managing supplier queries related to payments, retentions, or disputed charges.
  • Monthly CIS returns.
  • Maintenance and processing of expense claims.
  • Supporting month-end and year-end closures, service charge reconciliations, management accounts and reporting.
  • Any other reasonable tasks as required in the finance team on as and when basis.
  • Prepare month end CIS reporting.
  • Develop the periodic reports as per Owner requests.
  • Onboarding and verification of new suppliers.
  • Maintain accurate supplier information on the database.
  • Liaise with the database provider (Yardi) and develop the software for the benefit.
  • Develop and maintain CIS contractor database.

Requirements:

  • 5+ years experience in Purchase Ledger at Senior level
  • Yardi or a similar Asset management data base
  • Excellent attention to detail
  • Experience of implementing processes and procedures
