Supplier Set Up Coordinator

The role: To be responsible for the management and set up of new Suppliers as part of the Purchase Ledger team, ensuring the efficient and accurate payment of supplier invoices for the managed portfolio.

Duties:

  • Liaison with various members of the business including the Procurement and Client Accounting teams
  • Day to day management of the new Supplier function
  • Validation of bank and CIS details for all new suppliers
  • Managing Procured and Client instructed Suppliers
  • Managing non procured suppliers
  • Supplier set up on relevant PMA systems
  • Maintaining control of new Suppliers, tracking receipt, validation and set up
  • Daily monitoring of Proactis system to modify/prepare and request supplier paperwork for suppliers that are received into the workflow system
  • Flagging issues and delays
  • Updating the Master supplier records for new Suppliers
  • Update and maintain the BI model/master supplier module on a daily basis, ensuring all new supplier details have been added/amended to allow functionality with Proactis
  • Work with the IT department to ensure smooth running of new suppliers that are added to hosted PMA systems
  • Monthly reporting of new supplier stats.
  • Collate monthly Intermediate reporting figures to be presented to senior management
  • Update and monitoring of various spreadsheets on a daily/weekly basis
  • Monitoring statutory and internal compliance policies and procedures, RICS and ISO standards and any statutory timelines and escalation requirements

Requirements:

  • Be able to self-manage and show  initiative, be proactive and meet deadlines. Embrace change, including Technology. Give great service delivery including working in partnership with internal and external individuals and good communicating in written and verbally
  • Experience of supplier set up within a AP role
  • Property experience is favourable
